Job Description

An exciting opportunity to join our collaborative and supportive team as the Office Manager.

The primary purpose of this position is to provide both operational and general administrative support to our sales and warehouse team, to ensure our customers receive their deliveries on time and the site is maintained to a high standard.

Job Responsibilities

Responsibilities of this position include, but are not limited to, the following:

  • Ensure administration activities are maintained in accordance with company policies and procedures.
  • Undertake the duties as ‘first point of contact for New Zealand operations.
  • Response to daily inquires related to business operations activities from external stakeholders including customers, suppliers, government agencies and business partners.
  • Coordinate mail, banking,  stationery and printing supplies, IT equipment, telecommunications, and office supplies.
  • Coordinate with Global Shared Services to ensure invoices are entered and 1st approval conducted into the ERP system on time.
  • Check and verify expenses, allocate payments and manage the online travel and indirect procurement systems according to Danfoss guidelines.
  • Provide support information for annual review of local insurance policies.
  • Ensure the accuracy of shipping and importing documents and liaise with NZ Customs, shipping/logistic companies as required.
  • Maintain the stock level accuracy and lead the annual stock-take together with the Pacific Finance team.
  • Support the warehouse staff with daily inbound and outbound activities.
  • Coordinate facility management, including oversight of the security of the building, management of repair and maintenance, and coordination of compliance activities according to local legislation.
  • Lead the environment, health and safety for the New Zealand operations.

Background & Skills

The ideal candidate possesses these skills: 

  • Qualification in Business or equivalent.
  • Previous administration/ finance, logistics and facility management coordination experiences required.
  • Ideally, you will have experience within a fast-paced and varied role supporting others.
  • Experience in completing data entry and reporting.
  • Excellent written and communication skills - enjoy speaking to stakeholders.
  • Self-motivated and a willingness to contribute to the team.
  • High attention to detail and analytic skills.
  • Intermediate level MS Office Suite (Word, Excel & Powerpoint).
  • SAP or ERP system experience would be advantageous.
  • Basic understanding of environment, health and safety workplace regulations.
