Job Description

 

Performs a variety of administrative and/or coordinating activities for a divisional President and the leadership team. Performs certain special activities and/or projects as may be assigned and related to the overall function involved. The executive assistant completes a variety of tasks that executives may not have time to do; these responsibilities differ greatly based on the organization's specialties and mission. Enhances executive's effectiveness by providing information management support; representing the executive to others. In many cases, this individual's work may also include handling sensitive or confidential information; in this case, the executive assistant must exercise restraint and tact. 

Job Responsibilities

 

Completes a broad variety of administrative tasks for the President including: managing an active and dynamic calendar; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

Communicates directly, and occasionally on behalf of the President with direct reports, Board members, employees and others.                                                                                                                        

Researches, prioritizes, and follows up on incoming issues, meeting actions and concerns addressed to the President including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

Provides a bridge for smooth communication between the President and other internal stakeholders; demonstrating leadership to maintain credibility, trust and support with senior management staff.

Works closely and effectively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for issues taking place and keeping the President updated.

Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.        

Organizes meetings, including handling logistics/venue, gathering input and creating agenda, taking the lead on administrative tasks.

Supports Communications plans and messaging with and for the Fluid Conveyance organization. This may include scheduling, coordinating and facilitating Teams Live or other communications events.

Partners with and supports the Fluid Conveyance divisional leadership team as needed.  

Background & Skills

 

 

  • 3-5 years experience supporting senior leadership in an administrative or project capacity
  • The successful position holder will have a high energy level, a willingness to get involved in many different aspects of the business - some beyond the assigned executive assistant duties; an outgoing, friendly and service-minded personality and an ability to deal effectively across all levels of employees.
  • Experience working with financial information is required. 
  • Attending some of the leadership meetings may require international travel.
